 2012/2013 Annual Tornado Youth Hockey Presidents Report

The 2012/2013 Tornado Youth Hockey (TYH) season has had its ups and downs just as all the seasons before this one. This season our board has been able to focus on a lot of hockey issues. Which is the way a youth sports board should be able to operate. The nominations this year point to the direction of a lot of new faces on the board. This is very exciting to see more people getting involved. It is always refreshing to have “new blood” on a board. But with this in mind these positions are very important in providing an enjoyable hockey experience for all skaters in our organization. When decisions are made the board needs to make sure it positively impacts the majority of the skaters involved and that the future of the association is always considered. Policies and bylaws cannot be made for 1 year only. The insight to future ramifications always need to be reviewed. With these items always in mind TYH will grow stronger and better with each year. This is what should be strived for each hockey season. Some of the accomplishments from this year include:
  • •We operated the association with the money we took in this year only. Although our treasurer numbers will not be complete until next month, this is the track we are on.
  • A policy was put in place allowing skaters to tryout out at the next level if they chose to do so. This is a topic we discuss every year. A lot of research, thought and discussion was put towards this policy.
  • The use of Coulee Region Chill players at each teams’ practices and added goalie practices increased this season. We received a lot of positive feedback on this program. Skaters and coaches appreciated the knowledge and energy these players provide to their teams.
  • Our donations from area companies have increased due to employee involvement in our association. Although the complete fundraising report will not be complete until next month, this has been an increase. I hope this trend will continue.
However with these positives there are still areas that I feel we need to improve on.
  • Our Mite program changed to the ADM model 3 years ago. And each year since, we have tweaked that model to work with our association and the feedback we have received from our coaches. There are more changes needed. Our board has had several productive conversations about improving this program even more. Younger mites are finding 3 practices a week are too much and we are finding that some skaters are not showing up for practices by the end of the season. Older mites are discouraged because of not being able to compete. Going back to Saturday morning game days has been discussed. My hope is that the new board continues these talks to continually improve this program.
  • The Learn to Skate numbers were a tad lower this year than the year before. We need to focus a lot of energy on this program. This is how our association grows. We need growth for TYH to continue. Divna Miljhaovic has recommended several improvements to the program. Hopefully, the new board hears these recommendations moving forward.
  • One of the major problems we encountered this year was a lack of volunteers. This is a parent run association. Parents need to step up and help run all aspects of the association. Our board ended up providing several additional service hours that could have been completed by others. The success of this association relies on all members not just 20%.
In conclusion I would like to thank all of the members of this association that have spent countless hours devoted to our Youth hockey players, especially our coaches, board members, committee chairs and team managers. These members go above and beyond to provide a positive hockey experience to our youth.

Definition
 
Bullying is a series of negative and/or violent repetitive actions between individual players or groups of players. Bullying is deliberate or intentional behavior using words or actions, intended to cause fear, intimidation or harm. Bullying may be repeated behavior and involves an imbalance of power. The behavior may be motivated by an actual or perceived event. Distinguishing characteristic, such as, but not limited to: age; national origin; race; ethnicity; religion; gender; gender identity; sexual orientation; physical attributes; physical or mental ability or disability; and social, economic or family status. Bullying may involve verbal, physical, and/or indirect behavior.

Tornado Youth Hockey Locker Room Policy

 
To help prevent abuse or misconduct from occurring in our locker rooms, Tornado Youth Hockey has adopted the following locker room policy. This policy is designed to maintain personal privacy as well as to reduce the risk of misconduct in locker rooms.
 
At Onalaska Omni Center there are eight locker rooms available for our program's use. Two of the locker rooms have showers and restrooms built within the locker room TYH team organizers will attempt to provide information on the locker room facilities in advance of games away from our home arena. At arenas for which you are unfamiliar, parents should plan to have extra time and some flexibility in making arrangements for their child to dress, undress and shower if desired.

Well the 2012/2013 season is nearing an end.  I sure hope that you enjoyed your season this year, regardless of your win/loss record.  I hope that you have gained some friendships and that your skater has too.  I hope your skater has improved on the ice and off the ice as a team player.  As this season starts to wrap up we need to start looking at next season.  Elections are in the month of April, however we need to start getting nominations.

If you are interesting in running for any of the board positions or would like to be considered for a committee chair position, please contact any one on the nominating committee.  If you are in a position now and would like to run again or are interested in running for another position, you will still need to contact one of the people listed above. 

 

Board positions are voted on, committee chair positions are appointed by the President.  

 

A list of the positions is on the website under contacts.  We have attached the position descriptions for each position so that you are aware of what the position will require of you.  Along with those requirements you will need to attend the monthly board meetings and any additional meetings called by the President.  If you have additional questions please feel free to contact any current board member.  Holding a position will fulfill your service hours.  But please be aware that you will put in more than the required 20 hours.  

 

The TYH board is only as strong as the people that run for the positions.  It is always best to have contested races.  This way the association is able to choose who they feel is the person for the role.  Please consider being an active part of this great organization.

ARTICLE V—DUTIES AND POWERS OF OFFICERS AND DIRECTORS
 
Section One
The executive power of the Tornado Youth Hockey shall be vested in the Board of Directors.
 
Section Two
 
President:
  • Shall be the Chief Executive Officer of Tornado Youth Hockey and shall preside at all meetings of the corporation, Board of Directors and Executive Committee, except the Nominating Committee.
  • The President shall appoint the Chairpersons of all standing committees; subject the approval of the Executive Committee.
  • The President shall render a report on the activities of Tornado Youth Hockey at the annual meeting
  • The President shall serve as ex-officio to all committees
  • Shall attend all league meetings
  • Shall attend annual WAHA meeting and others as required
 
 
Section Three
Vice President:
  • Shall perform all the duties and exercise all powers of the President in the absence of the President and be responsible for other activities and projects assigned by the President and /or the Board of Directors
  • Responsible for sponsorships
  • Responsible for tags on jerseys, and all inhouse jerseys
  • Responsible for ad booklet
 
 
Section Four
 
Secretary:
  • Shall keep an accurate record of the proceedings of all meetings Tornado Youth Hockey, the Board of Directors and the Executive Committee. The records shall be open at all times to reasonable inspection of any member of Tornado Youth Hockey.
  • A copy of all minutes shall be sent to the President and the webmaster.  The secretary will perform all correspondence to the membership at large
  • In the absence of the Secretary, the President shall appoint a temporary recording secretary. A copy of all minutes shall be sent to the President.
  • The Secretary will be responsible for the Association newsletter.
 
 
Section Five
 
Treasurer:
  • Shall be the Chief Financial Officer and shall receive all funds and dues paid to Tornado Youth Hockey.
  • The Treasurer shall deposit such funds and dues in the name of the corporation in such financial institutions as the Board shall designate from time to time.
  • The Board annually shall set a maximum disbursement that may be made without Board approval.
  • The Treasurer shall pay all bills for the corporation after these bills have been certified and approved by the President.
  • The Treasurer shall keep or cause to be kept in suitable form, detailed accounts of the assets, liabilities, receipts and disbursements of the Corporation. The books shall be open at all times for examination or audit by the auditors or such representatives of the Board of Directors as it may designate from time to time.
  • The Treasurer shall render a report at each Board Meeting and general meeting, and shall submit an annual report. All expenditures voted by the Board of Directors should be listed in the Annual Treasurers Report.
 
 
Section Six
Past President
  • The Past President's position on the board is to provide guidance and assistance to the current board members. 
  • The Past President can provide a historical prospective when it comes to TYH policies and can share with the board why previous policies were made.
  • The Past President is a voting member of the board. He or she shall serve as the parliamentarian at all meetings.
 
 
Section Seven
The DIRECTORS-AT-LARGE shall be representatives of the corporation and their interests to the Board of Directors. They are to be a liaison between the Board, Coaches and Team managers.
 
 
Coach’s rep:
  • Shall be a liaison between the Board and the coaches.
  • Interview and present qualified coaches to the board for approval.
  • Develop and conduct training sessions for coaches
  • Attend team practice and observe coaches
  • Fill in for missing coaches at practice and games
 
 
Manager’s rep:
  • Shall be a liaison between the Board and the team managers.
  • Recruit and train managers for all teams
  • Distribute materials and information to team managers
  • Watch game and practice ratio
  • Attend board meetings
 
 
League Representative:
 
  • Represent Tornado Youth Hockey at any league meetings in which the organization belongs
  • Act as a liaison between the league and Tornado Youth Hockey
  • Provide a summary of the meeting to the Tornado Youth Hockey Board of Directors
  • Shall attend WAHA meetings as required
 
League meetings are typically held once per month starting in September and ending in April.  In addition to regular monthly meetings there is also a scheduling meeting which is typically held in October.
 
In the event that the organization belongs to multiple leagues, the League Representative should attempt to attend both sets of meetings if possible.
 
 
 
Bantam rep:
 
  • Attend board meetings
  • Book the tournaments for the teams for the upcoming seasons. Discuss with coaches & reps from last yr to see what works and what doesn't.
  • Work at the hockey registration in September.
  • Register players at try-outs checking in skaters and handing out jerseys.
  • Listen to the concerns parents and players may have.
  • Inform parents of ice times and try out dates. Registrar will send master registration list with emails.
  • Help select managers for the teams and possibly tournament directors.

The Executive Committee shall exercise all powers of the Board of Directors during the
interim between meetings of the Board of Directors.
 
Section Three
All actions of the Executive Committee shall be subject to ratification of the Board of Directors
of Tornado Youth Hockey
 
 
ARTICLE VII—COMMITTEES
There shall be such standing committees as are necessary for the conduct of business and
programs of Tornado Youth Hockey. The President shall appoint the chairperson of each
committee with the approval of the Board of Directors as soon as possible after taking office.

- pulling all the jerseys out of storage. Key can be gotten from TYH President. Storage is located at a shed off East avenue (shed 7) or in the Omni storage
-Jerseys are labeled in box or bag by team. You need to get squirt, peewee and bantam. Note: there are tons of totes. Get only ones labeled 2011-2012
- A spreadsheet with all the jerseys/teams will be provided. Should correlate to what is in totes.
- Give each team manager the jerseys for their respective teams prior to first game. Provide them with instructions to collect a check from each person (team mgr keeps check without cashing through season)Also provide them with the list of jersey numbers that are being provided to them (from the spreadsheet). Team mgr will distribute to team.
- give lanyards for high school games to team mgrs. return extras to TYH President.
- After season is over, team manager collects all the jerseys and returns to you washed jerseys.
- Confirm jerseys returned match the jerseys issued. Return to storage.

Effective dates: 9-1-12 to 9-1-13
 
The donation may come from a business that a TYH parent owns, or a donation they secured from their
employer.
 
Donations made from a parent’s place of work for matching their own donation or volunteer hours to
TYH do not count towards TYH service hour credit.
 
Donations must be made above and beyond player registration fees, calendar raffle purchases and other
TYH fund raising initiatives.
 
Donation credit for service hours cannot be donated to another family.
 
Each $50 donated by a parent or the company they work for = one service hour
 
The donations only count toward service hours if they are for one of these sponsorship categories:
 
Team Sponsorship - $500
 
For one season and includes logo and/or name recognition on the TYH website, in all of the TYH
tournament programs, highlighted in your team levels tournament program, recorded mentions as the
team sponsor during the home tournament announcements, the team’s home tournament program

Presidents report

 

Each year the President has an opportunity to review the year that was. I have found that as the Vice President the last few years I had the easy job in assisting the President with their report. It was easy to look back at the year and highlight some of the major accomplishments and areas needed for improvement. With that said I have found a lot of plusses in our program and a few areas I think we should take a closer look at.

Here are some highlights from this past season:

 

  • Our Learn to Skate program introduced the sport of Hockey to almost 70 kids. Almost ½ of those skaters joined the association.
  • Home tournament numbers were great this year. We did not have to cancel any tournaments and had at least 6 teams in every tournament.
  • Our fundraising events have been very successful with very little effort from our members. And by that I mean that our members did not have to do a lot of selling. We have focused more on “painless” fundraising.

Some other items to consider for the 2012/2013 season:

  • Do we need to increase our ice time to compete in division 1? If so how are we going to do this without raising rates?
  • How do we increase the knowledge of our newer coaches? We should try and get a clinic locally, and have our more experienced coaches try and help out.
  • How do we encourage more kids to join hockey? Should we rent out our LTS equipment to make it more affordable? Should we decrease the time commitment?

A couple of the items I feel we need to address are the tryout process and the ADM program

At the end of last season a tryout committee was formed. They spent many hours gathering information from other associations on how they ran tryouts. The committee took all this information and created a proposed tryout process. This process was reviewed and discussed with the Exec board. Several hours were spent on making sure everything was clear and thought out before presenting it to the board. Once the board reviewed it more changes were made. In the end we had a solid tryout process. I believe the tryout process went well without any issues. However, no tryout process is perfect in any sport. I would like to suggest some changes for next year. There are many factors that need to be considered when tryouts roll around. One area for improvement is registration. We need to know our numbers well in advance of tryouts to determine teams. In the past we have had families register late and it can cause problems in the tryouts and formation of teams. The other area that will need to be looked at this next season is Bantam tryouts. This year we waited until the High School tryouts were done. The Bantam teams were formed late due to this. As tryouts were approaching, many Bantams were not participating in pre tryout practice because they were skating with the high schools or involved with the Heat practices. This will need to be addressed for next season. Coaches input was not considered in tryouts this year but may need to be looked at in future years to insure the skaters are on the correct team for their abilities.

The 2nd area to look at was the ADM program. Last year we received a lot of feedback about this program. It was the associations first year running it and we knew there would need to be some changes. We appreciated all the helpful insight from coaches and parents. This year we made some changes that seemed to be very positive. We did not have as high of a retention rate in coaches. There was more variety in the drills which kept the skaters interested. Some advanced skaters were able to participate in some games. With these changes the program improved. We also added the Squirt in-house for those skaters that were not ready to move up to the traveling level and wanted more development. However, there is more improvement needed. Looking into next year I would like to see more internal training of the in-house coaches. We have a lot of talented coaches in our association. These coaches would be able to help out the in house coaches. I would also like to see the game play continued although those games will need to be half ice per USA Hockey. I feel the skaters need to play the game in order to keep their interest in the sport. USA Hockey will be sending down some changes in the program that we will have to abide by. With these changes we will need to be flexible as an association to accept.

In closing I would like to thank all of the members who devote countless hours to help our association grow and improve each year. Our coaches are top notch and some of the best in the area. Without them we would not be as strong as we are. TYH is highly regarded in the area due to our coaches, board members, parents and skaters. I encourage you to get involved in this great association not only for your skater but for all the kids that chose hockey as a sport they would like to play.
